NOISE
Sound effects, loud speakers, music amplifiers, attention getting devices, audio-visual equipment, etc., will not be permitted except in locations where, in the opinion of the Expo Manager, such sound and activity does not interfere with the neighboring exhibitors.
PARKING
Parking is open to everyone. However, each Exhibitor will park their vehicle on Feb. 22nd, 23rd & 24th at the parking facility in Bricktown on E.K. Gaylord and Main Street. A trolley will be available for exhibitor pickups, one hour before opening, for the duration of the Expo and one hour after closing for all three days. You will be able to park in the underground parking of Cox Business Service Convention Center at your expense. The Expo Management is not responsible if your vehicle is towed by any towing service.
SECURITY
Expo Management will provide a security guard in the exhibit halls between 8:00 am Wed., Feb. 20th through 2:00 pm, Mon., Feb. 25th. Also, securtity will be provided in the designated exhibitor parking facility.
SUBLETTING OF SPACE
Subletting of exhibit space is prohibited. Two or more firms may not exhibit in a single space.
TAXES
Sales tax on all items sold at the EXPO is 8.375%. It is important to keep your receipts. If you need more information, please contact the Oklahoma State Tax Commission at 521-3160.
TELEPHONE
The Expo Management will have phone availability at the Expo office for exhibitors use for no more than 3 minutes. If you are in need of a phone hookup, please contact Southwestern Bell Telephone at 1-800-882-5706.
EXHIBITOR'S TICKETS
Exhibitors will receive, upon final booth registration payment, 25 ($1 Off) discount tickets at no charge. Additional books of 25 ($1 Off) discount tickets may be purchased at a cost of $25.00.
EXPO DECORATOR
Information will be issued to all exhibitors by the Expo’s Decorator covering special booth equipment, carpentry, decorating, sign making, furniture for rental, cartage, uncrating, erecting, dismantling or recrating. Exhibitors will be billed directly for services performed by the Expo Decorator.
SIGNS
Signs of uniform size will be furnished to exhibitors. The name of the exhibitor will be placed on the sign without cost. Any signs that have to be redone will be at the expense of the exhibitor.
FORKLIFT
The Expo Management will provide two forklifts for your use. This is on a first come, first served basis.
INTERCOM SYSTEM
The intercom system will be used by the Expo Management for emergency purposes only. It will not be used for exhibitor announcements for the purpose of drawings and/or giveaways or any other non-emergency use.
INSTALLATIONS/SHIPPING INSTRUCTION
All exhibitors will be held responsible for the installation of their own exhibits. Freight and express shipments should be consigned directly to exhibitor and its care. Bills of lading must be PREPAID. The Expo Management will not be responsible for any loss or damage to goods consigned to its care. Exhibitors are responsible for damage to booth structures on the premises and the Expo Management will not sign for, nor be responsible for, any shipments received.
AWARDS
Each year, exhibitor booths are judged for awards and presentations. Friday, Feb. 22nd, 2008 at 2:00 pm each booth will be judged by outside panels who will look at marketability, attractiveness, originality and creativity. Your booth must be completely set up and ready to be judged. The judging categories are: Best Landscaping (Two Merit Awards for Landscaping), Best Multi-Booth (Two Merit Awards for Multi-Booths) & Best Single Booth (Two Merit Awards for Single Booths).
ADVERTISING MATERIALS
Advertising materials, such as company signs, flyers, mascots, etc., are prohibited in all areas except in rented exhibit booth space.
BADGES
Badge packets may be picked up at the Expo Office after 8:00 am, Wed., Feb. 20th. Each 10 x 10 booth will be allowed four authorized badges. Each Multi-Booth will be allowed eight authorized exhibitor badges. These badges are for your specific designated exhibitor personnel or agents and may not be exchanged. A company representative’s signature will be required to pick up your badge packet. Exhibitors, will be responsible for the distribution of your company personnel badges. There will be a charge of $3.00 per badge if more are needed by your company. Once badge packets are received, no badges may be left at the Expo Office or information booth for any exhibitor personnel pickup. Only the official badge of the 2008 OKC Home & Garden Expo will be accepted for admittance by exhibitor personnel. This will be strictly enforced by the Expo Management. See back of contract for more details.
BOOTH DESIGN & DISPLAY RULES
Booth partitions (pipe & drape) will be furnished without charge. The height of the back wall is eight (8) feet, height of side rails is three (3) and/or four (4) feet from the floor. No display items in your booth may extend above the four foot side rails. No display items in your booth may extend above the four foot side rails. Attaching any displays to the Expo Decorators exhibit poles is prohibited. The Expo Management reserves the right to remove any display item that does not meet these requirements. All exhibits must fit within the booth space. (No company names or logos showing on back side). Raw wood or cardboard wings visible from other booths must be painted or appropriately covered.
A good rule to follow is not to design an exhibit which you, as another exhibitor, would find objectionable. If you have any questions about the design specification in your booth, please call Expo Management at (405) 843-1508 before the show or see Expo Management during move in. These design rules are in direct relationship with the IAEM (International Association of Exhibition Managers) guidelines and will be strictly enforced.
ELECTRIC
All electrical and water-type displays will be at exhibitors expense. Arrangements must be made directly with SMG. Be sure to bring extension cords if you plan to use outlet. The Expo Management does not provide water hoses during move-in or move-out. An SMG/Cox Convention Center representative will contact you by mail.
EXHIBITOR'S LOUNGE
As a courtesy, an EXHIBITOR’S LOUNGE will be available beginning Sat., Feb. 23rd and Sun., Feb. 24th for exhibitors to relax for complimentary, coffee, tea and donuts or to catch up on work. The Expo Management request that each exhibitor respect other exhibitors relaxing and having refreshments as well. The location will be in a designated area of the arena.
CLEAN UP
All aisles must be kept clear of exhibits, interviews, demonstrations, distribution of literature, etc. and must be inside of the exhibitor’s booth space only. Exhibitor’s booths must be able to pass fire marshal’s inspection, and therefore, the uses of nonflammable materials is recommended. No smoking is allowed in the Cox Business Services Center or any booths.
CONDUCT
The Expo Management reserves the right to stop or remove from the Expo any exhibitor, or his or her representative, performing any act or practice which in the opinion of Expo Management is objectionable or detracts from the dignity of the Expo. Each exhibitor must keep spaces clean and exhibits staffed and in good order. Each booth must be staffed during show hours by at least one person. IF NOT, Expo Management reserves the right to remove display items if exhibiting booth is not manned during show hours.
MOVE OUT
All exhibits must be removed from the buildings by 2:00 pm, Mon., Feb. 25th. No exhibits can be removed before the Expo ends at 6:00 pm, Sun., Feb. 24th. Vehicles will not be allowed in the buildings until Sunday @ 7:00 pm in order to give the Expo Decorator ample time to remove any incidentals. The Expo Management expresses its desire that each exhibitor be patient and courteous to other exhibitors when moving in or out.
INSURANCE
EXPO MANAGEMENT & COHBA SHALL NOT BE RESPONSIBLE FOR INJURY, LOSS OR DAMAGE TO ANY EXHIBITOR, OR ANY THIRD PARTY. EXHIBITOR AGREES TO INDEMNIFY AND DEFEND EXPO MANAGEMENT & COHBA FOR INJURY, LOSS OR DAMAGE, EXCEPT FOR THAT CAUSED BY THE GROSS NEGLIGENCE OR WILLFUL ACT OF EXPO MANAGEMENT. EXHIBITORS SHALL HAVE THEIR OWN INSURANCE TO COVER ALL CONTINGENCIES INCLUDING, BUT NOT LIMITED TO, FIRE, THEFT, PROPERTY DAMAGE, PERSONAL INJURY AND WORKMANS' COMPENSATION. ALL EXHIBITORS MUST PROVIDE THE EXPO MANAGEMENT WITH A COPY OF ITS LIABILITY INSURANCE.
